Your family’s information
We keep only what teaching needs, we never sell it or use it for advertising, and you can see it, take it with you or have it deleted.
Who looks after it
KinLearn is run by Prose Refinery Ltd, which decides how your family’s information is used and is responsible for it. Write to us at privacy@kinlearn.co about anything on this page.
What we keep, and why
- About you
- Your email address and password, so you can sign in, and your six-digit parent PIN. We store the password and PIN only in a scrambled form that cannot be read back.
- About each child
- A name (a nickname is fine) and the month and year they were born, never the full date. We use these to find the right school year and lessons.
- Learning
- Which sittings your child has done, what you recorded seeing, your weekly plan and any family notes you write. If you do the start check, which sounds and numbers your child knew. If your child taps how a sitting felt and what helped (easy, just right or tricky, and choices such as drawing it), we keep their last 60 answers for the weekly letter; nothing is typed. We also keep the first books you mark as read together and the dates you read them. This is how we show progress, plan what comes next and build your home education report.
- Keeping the service safe
- Short-lived technical records, such as how many times someone tried to sign in, so we can stop misuse. These never contain your child’s name.
We use this information to provide the service you signed up for. We do not use it for advertising, we do not sell it, and we do not build marketing profiles of children. Lessons are chosen from your child’s school year and what you record, and you can always choose a different lesson.
Who helps us
These companies provide services we use: Vercel hosts this website, Cloudflare provides additional hosting infrastructure, and Supabase holds the database and handles sign-in. GoDaddy manages our domain, and ImprovMX forwards support and privacy emails to our Google mailbox. Password-reset and reminder emails are not yet available. Some of these companies may process information outside the UK. Ask us and we will tell you where, and what protects it.
How long we keep it
For as long as your family account is open. You can remove a child or delete your whole family yourself in the Parents’ room, and it happens straight away. If you ask us by email instead, we do it within 72 hours. Copies in our backups are overwritten as those backups expire.
Your rights
In the Parents’ room you can download everything we hold about your family, remove a child or delete your family. You can also ask us for a copy, ask us to correct or delete anything, or object to how we use it. Email privacy@kinlearn.co from the address on your account. If you are unhappy with our answer, you can complain to the Information Commissioner’s Office at ico.org.uk.
For children
KinLearn knows your name and roughly how old you are, so it can choose lessons that fit you. Your grown-up writes down what you learned so they can see how you are doing. Other families cannot see it, and we never show you adverts. If you want something taken away, ask your grown-up and we will delete it.
